1. Introduction
This notice explains how Countz collects, uses, shares and protects personal data when you visit our website, request or use our services, or communicate with us, and the choices and rights you have in relation to that data.
2. Scope and our roles
On our own behalf. For personal data about you as a website visitor, prospective customer, account holder or contact, Countz decides how and why it is processed. This notice applies in full.
On behalf of our customers. For content our customers submit to the services in the course of their business ("Customer Data"), including any personal data it contains, the customer decides how and why it is processed, and Countz processes it only on the customer's instructions, as a service provider, under the customer's agreement and data processing addendum. This notice does not apply to Customer Data except as described in section 5. Questions about Customer Data should be directed to the relevant customer.
3. Personal data we collect
Website. Technical data sent by your browser (IP address, browser type, pages visited, timestamps), collected in server logs and by analytics tools.
Requests and enquiries. When you request access to our services or contact us, the information you provide: name, work email, organisation, role, and what you tell us about your situation and intended use.
Account and installation data. When your organisation provisions an account for you, or you request, install or register our software: name, work email, organisation, role, identifiers from your organisation's identity provider if single sign-on is used, identifiers from third-party platforms through which we distribute software, and records of sign-in and account activity.
Correspondence and support. The content of your communications with us and any attachments you send.
Usage data and feedback. If you enable it or choose to send it, diagnostic and usage information about our software, and feedback you provide.
We do not require or knowingly collect sensitive categories of personal data.

We do not sell personal data or share it for targeted advertising, and we do not make decisions with legal or similarly significant effects on you by automated means.
5. Customer Data
Customer Data may include personal data about individuals appearing in a customer's financial and business records. Countz processes it only on the customer's instructions and only to provide the services the customer has requested. It is encrypted, segregated per customer, not used to train models, and not disclosed except as the customer's agreement permits. Countz's role, the processing location and the deployment model the customer has chosen are set out in the customer's agreement and data processing addendum.
Where our software runs inside a third-party platform you use, such as an AI assistant, the content you process there stays with that platform under its terms and is not held by Countz; Countz receives only the information described in section 3.
6. Who we share personal data with
- Service providers for hosting, storage, email delivery, analytics, AI model inference and software distribution, under contracts that restrict their use of personal data.
- Your organisation, which administers your account and can see your account data and activity within its environment.
- Professional advisers, authorities and successors, where required by law, to establish or defend legal claims, or in connection with a merger, acquisition or sale of assets, subject to confidentiality.
7. Where we process personal data
Countz is established in the United States and hosts data there. Our website and services are offered from the United States and are not directed at individuals in the European Economic Area, the United Kingdom or Switzerland. If you use them from outside the United States, your personal data is transferred to and processed in the United States, where privacy laws may differ from those of your country.
8. Retention
We keep personal data only as long as necessary for the purposes described in this notice, taking into account the purpose of collection, our legal and contractual obligations and applicable limitation periods, and then delete or anonymise it. The periods are set in our Retention Policy, available on request.
9. Security
We apply technical and organisational measures appropriate to the risk, including encryption in transit and at rest and restricted, logged access to personal data. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. A Security Architecture Overview is available to customers under confidentiality. To report a security concern, contact devops@countz.ai.
10. Your rights and choices
Depending on where you live, you may have the right to access, correct, delete or obtain a copy of your personal data, to opt out of certain uses of it, and to withdraw consent where we rely on it. To exercise these rights, contact support@countz.ai. We may ask you to verify your identity, and we will respond within the period the law requires. If we decline a request, you may appeal by replying to our response. For Customer Data, we will refer your request to the relevant customer and assist it.
You may opt out of marketing communications at any time using the link in the message or by contacting support@countz.ai.
California residents have the right to know, delete and correct personal information and not to be discriminated against for exercising those rights. We do not sell or share personal information as defined by the California Consumer Privacy Act.
11. Cookies
We use strictly necessary cookies to operate the website and services and to keep you signed in. We may also use analytics cookies or similar technologies to understand how the website is used. Where the law requires it, we ask for your consent before setting non-essential cookies. You can control cookies through your browser settings; disabling strictly necessary cookies may prevent you from signing in.
12. Children
Our services are intended for business use and are not directed at children under 16. We do not knowingly collect their personal data.
13. Changes to this notice
We may update this notice from time to time. We will post the updated version with a new effective date and, for material changes, notify account holders or their organisation's administrator.
